Assignment proofreading workflow
Proofread an assignment in separate passes
A final read-through is more useful when you know what you are checking. Structural gaps, unclear sentences and incorrect references are different problems, and noticing one can distract you from another. Divide the review into purposeful passes and leave enough time to inspect the file you will actually submit.
Leeds distinguishes revision and proofreading within the writing process, while Newcastle discusses approaches to proofreading and permitted support. Check your institution's rules about help from other people or tools. Keep responsibility for decisions and changes with you, particularly when an assessment restricts assistance.

Freeze a reviewable draft
Save the current draft with a clear name and confirm that all required sections are present. Resolve obvious placeholders before calling the document finished. A note saying 'add source' is a drafting task, not a small punctuation issue. Make a separate list of substantial unfinished work so it is not hidden inside proofreading.
Choose a review order and a realistic stopping point for each pass. If time is limited, prioritise requirements that materially affect the answer and submission. Do not spend the entire available period adjusting formatting while an unsupported central claim or missing section remains unresolved.
Read for argument and structure
Read the assignment question, then the introduction, topic sentences and conclusion. Check whether they tell a consistent story. Inspect places where a reader needs an explanation of why evidence supports a claim. Mark structural changes separately from spelling corrections so you can see their scope.
Check headings and section order against the required format. Look for repetition, abrupt shifts and references to material that never appears. If you move or remove a paragraph, reread the surrounding passages. A structurally sound document is easier to proofread because later sentence edits are less likely to be discarded.
Check sentence meaning and mechanics
Read slowly enough to notice missing words, ambiguous pronouns and sentences that contain several competing ideas. Use punctuation to clarify meaning rather than to make writing sound formal. Where a sentence is difficult, identify its main point before changing it. Keep terminology consistent with the discipline.
Use spelling and grammar suggestions as prompts to inspect, not automatic instructions. A tool may misunderstand a technical term or propose a change that alters the meaning. If reading aloud or an accessible reading tool helps you notice errors, use it on a representative section and check what you hear against the intended argument.
Audit quotations and references
Compare direct quotations with the originals and confirm the source locations. Check that every in-text citation has the required corresponding reference and that bibliography entries are relevant to the submitted work. Inspect names, dates and editions carefully; repeated use of an incorrect source record can create several matching mistakes.
Review figure and table captions, numbering and references in the text. Make sure units and labels are understandable and that source attribution is present where required. Do not assume the reference manager or document editor has checked whether the cited material actually supports the surrounding claim.
Inspect the submission version
Export to the required format and open the exported file. Look for page breaks, missing characters, cropped tables and figures that have shifted. Check the title or candidate details required by the assessment, along with filenames and file-size rules. The editable draft and exported submission can display differently.
Upload through the specified system and use any available preview or download check to confirm the correct file arrived. Keep the confirmation. Record two or three recurring errors from this assignment in a personal review list, so the next proofreading pass can target your actual writing patterns rather than a generic catalogue of possible mistakes.
Your next steps
- Separate unfinished drafting from proofreading.
- Check argument, sentences and references in different passes.
- Treat automated suggestions as items to evaluate.
- Open and inspect the final exported submission.
