Placement physical checkout

Return placement badges, keys and borrowed items before leaving

The final placement day can involve several people leaving at different times, which makes returning badges, keys and borrowed materials harder than expected. Start the physical checkout while the relevant contacts are available. You need a list of items, an authorised return point and confirmation of anything still outstanding.

Leeds' leaving guidance includes returning identification and access items, while Dundee's induction checklist illustrates the local arrangements attached to a role. Your placement provider sets its own checkout process. Follow that process for physical property, keeping this task separate from academic reflection, digital account changes and packing for your next accommodation.

Ask for the provider's checkout instructions

Contact your supervisor or placement coordinator before the final week and ask which physical items must be returned, to whom and by when. Check whether different teams handle badges, keys, uniforms, tools or other borrowed materials. Do not assume the person supervising your work can accept everything. If your final day is at another site or your supervisor will be absent, agree the handover in advance. Record any appointment or desk opening time that affects the return. A clear instruction now prevents the final day ending with property left on an unattended desk and no record of who is responsible for it.

Reconcile what you were given

Review any issue record, induction information or equipment list against the items you actually hold. Look in the places where work items are permitted to be kept, including a locker or another approved site. Note missing components, damage or an uncertainty about ownership and raise it with the provider. Do not quietly replace an item with a personally purchased alternative or assume an inexpensive object is yours to keep. Keep personal belongings separate from organisational property. The aim is an accurate list that the provider can check, not a perfect-looking return created by hiding a problem until after you have left.

Keep items usable until the agreed handover

Ask when access items should be surrendered so you can still complete the authorised final-day activities and leave the site normally. Do not disable, alter or discard a badge yourself. Follow the provider's instructions for preparing borrowed items for return, including any cleaning or packaging they require. If a task needs specialist handling, use the responsible team. Put small physical components together in their approved container and keep the return list alongside them. An ordinary document folder can hold permitted paper acknowledgements, but avoid taking internal records home simply to support your personal checklist.

Return each item to the authorised recipient

At the agreed time, compare the items with the provider's list and ask for whatever acknowledgement its process normally gives. If one recipient is unavailable, contact the supervisor or coordinator for an approved alternative rather than leaving the items somewhere convenient. Report unresolved discrepancies openly and note the action agreed. If a return requires posting or transport after the placement, ask the provider to specify the method and responsibility before arranging it. Do not assume you should pay, book a courier or choose packaging independently. The handover is practical administration that should be agreed by the organisation receiving its property.

Close the physical checkout record

Before your final departure, confirm whether any physical item or action remains outstanding and who will follow it up. Keep only the personal confirmation you are permitted to retain, following the provider's instructions for any workplace documents. Check that your own belongings have been collected from approved storage without removing anything assigned to another person. If an item is later found, contact the provider rather than keeping it until a future visit. The useful finish is a clear record that property has been returned or an explicit plan exists for the exception, allowing both you and the placement team to close the arrangement.

Your next steps

  • Ask for the provider's physical checkout process before the final week.
  • Compare issued items with what you actually hold.
  • Agree return points and timing for access items.
  • Record any outstanding item and its authorised next step.
