Use Zotero citations in Word without losing control of your references
Citation software can reduce repetitive formatting, but it cannot decide whether a source supports a claim or whether its details were captured correctly. Treat it as part of the writing workflow. Learn the basic actions on a short practice document before bringing a long assessed assignment into the process.

Make a small practice document
Create a document containing two short original paragraphs and a few references you understand. Insert a citation, add a page locator where appropriate and generate a bibliography using the required style. Check the result against your university's examples. A test of several ordinary cases reveals more than opening a blank toolbar and assuming setup is complete.
Include one source type you expect to use often, such as a journal article, book chapter or official report. If your course requires a particular local variation of a style, ask the library how to configure it. Do not silently change the assignment's requirements to match whichever style is easiest to find in the software.
Correct the source record first
If a citation displays the wrong author or date, inspect the item in the reference library. Compare its metadata with the original publication, then correct the record. Refresh the document using the supported plugin process. This keeps the reference consistent wherever it is used instead of creating different manual fixes across the draft.
Keep a note of any source whose publication details remain uncertain. A missing field should lead to a check, not an invented year or publisher. When a source lacks a conventional date or named author, follow the course's referencing guidance for that case. Software output is only as dependable as the information and rules supplied to it.
Add precise locators as you write
Record the relevant page, chapter or section while you are working with the source. Put that information into the citation using the supported controls when the style requires it. Do not wait until the end to reconstruct which page contained a quoted sentence. Similar passages can appear in several editions or versions.
Read the sentence around the citation as well as the reference itself. Check that the source supports the scope of the claim and that your wording distinguishes a quotation from a paraphrase. A perfectly formatted citation cannot repair an argument that attributes a stronger conclusion to a source than the source actually makes.
Protect the editable version
Keep the working document in the approved storage and backup arrangement. If a collaborator uses a different word processor, agree a supported workflow before exchanging the file. Test a copy first. Avoid repeatedly moving the only current draft through tools that may not preserve the citation fields you depend on.
Zotero warns that unlinking citations removes the automatic connection and cannot be reversed within that document. If a submission process requires an unlinked copy, preserve a separate editable original first. Name the copies clearly and check the course instructions rather than treating unlinking as a routine cleanup step for every assignment.
Check the final deliverable
Before submission, refresh and inspect the bibliography, then compare it with the citations used in the text. Check names, titles, dates and locators against the sources, especially unusual items. Open the exported submission file and confirm that references remain visible and correctly placed. Keep the exact submitted version with its receipt.
Afterwards, retain the library and document according to the relevant university rules. If you change computers, follow Zotero's documented data and backup process rather than moving a few PDFs and assuming the whole library is preserved. A reliable reference workflow depends on the records and their relationships as well as the attachments.
