Decide whether your home archive needs a NAS

A network-attached storage device makes files available over your home network. That can help several people share an archive, but it also introduces accounts, updates, disk management and a device that needs a sensible place to run. A USB archive may be easier if only one person occasionally retrieves the files.

Start with access and recovery requirements rather than the number of drive bays. Synology’s guidance explains local and off-site backup choices for a NAS. A multi-drive enclosure still needs an independent protection plan: keeping several disks together does not address every way that files, equipment or access credentials can be lost.

Describe who needs which files

List the people and devices that will read or add to the archive. Separate a family photo collection from personal documents and work material. Decide whether access is needed every day, only during a monthly filing session or while travelling. If one computer does all the work, a directly attached drive with an organised backup routine may satisfy the need. If several people need simultaneous access, write down their permissions before shopping. Shared convenience should not mean every account can rename or delete every folder in the house.

Compare the administration you will accept

A NAS has an operating system, user accounts and update settings that someone must maintain. Identify that person and give them time to learn the supported backup and recovery tools. Check how notifications about disk health, failed jobs and storage capacity will reach them. If nobody wants that responsibility, include paid support or a simpler arrangement in the comparison. Buying more bays does not solve a forgotten administrator password or months of ignored warnings. Keep model-specific recovery instructions somewhere accessible without relying on the NAS itself.

Budget for more than the enclosure

Add suitable drives, any recommended memory, backup storage and the network connection needed at the chosen location. Check the manufacturer’s compatibility information for the exact hardware revision and software version rather than assuming every spare disk is supported. Include the physical cost of noise, space and an accessible power socket. A unit hidden in a closed cupboard may be difficult to inspect and may not meet ventilation requirements. Consider where another backup will live; a second box on the same shelf does not provide geographical separation.

Choose a recovery target before a disk layout

Ask what you need to recover after accidentally deleting a folder, losing a computer or losing the whole storage enclosure. Record how recent that recovery must be and how long you could wait. A redundant disk arrangement can address some hardware failures, but it is not the same as retained independent copies or older versions. Read the NAS vendor’s explanation of supported protection methods and their limitations. Choose a layout you understand, then test the separate backup path. Do not experiment with disk reconfiguration while the only copy of the archive is on the system.

Pilot with copies and restricted access

Start with a copied, noncritical folder rather than immediately moving all family photographs. Create named accounts, verify that each sees only the intended folders and test access from the actual household computers. Keep remote access disabled unless a specific need and supported configuration justify it. Copy a test file into the archive, modify it and practise restoring an earlier or deleted copy through the chosen backup process. Also check how you would access the backup if the NAS enclosure failed. Recovery that needs the broken device is an incomplete plan.

Make the final choice from observed use

Run the pilot long enough to notice ordinary friction: someone cannot find a folder, a laptop sleeps during a copy or an alert goes unread. Fix the routine before adding more capacity. If the network features are rarely used, a labelled external archive and a scheduled independent backup may remain the more manageable choice. If shared access proves useful, document folder ownership, account recovery and the backup schedule. Review capacity and support periodically, and keep original files until you have verified both the archive and its recovery copies.
