Clean imported references before they reach your bibliography
A reference manager can organise sources and format citations, but imported records still need checking. A PDF filename, webpage heading or incomplete database entry can become a misleading bibliography item if it passes straight into your assignment. Build a brief checking routine when you add a source, while the original page is still open.

Choose the right item type
After importing, check whether the record is a journal article, book, chapter, report or webpage. Similar-looking fields can produce different citations depending on that choice. For a chapter, ensure the chapter author is distinct from the book editor. For a report, check whether an organisation rather than a person is credited.
Compare the imported title with the original source. Remove unrelated navigation text or a browser-tab label that has replaced the real title. Retain meaningful subtitles and edition details. Do not make cosmetic changes merely to force a citation to look familiar; first verify how the required style treats that source type.
Check names and publication details
Inspect author names individually, especially where the software has treated a whole list as one author. Check the publication year, journal title, volume, issue and page range against the source. Use the information for the version you actually consulted rather than mixing an early manuscript date with final publication details.
Keep identifiers where available, but check they resolve to the same item. An ISBN for the wrong edition can pull in a plausible-looking but incorrect book record. Where information is genuinely absent, use the style's approach to missing details rather than guessing an author, publisher or date.
Separate the record from the attachment
Open the attached file and confirm it matches the citation. A correct reference can still have the wrong PDF beneath it, especially after downloading several papers with similar titles. Give notes and attachments clear names and keep a stable link back to the source page when the software supports it.
Mark sources you have only located separately from those you have read. A collection called 'to inspect' can help, provided it does not become a permanent dumping ground. The distinction matters when you draft: possessing a PDF is not the same as understanding its argument or verifying a claim inside it.
Use a small, consistent organising system
Create collections around projects or modules and a limited set of tags that you will actually use. For example, tags might identify method, topic or reading status. Avoid creating several near-identical tags whose meaning you cannot distinguish later. Zotero's documentation explains the available organisation features; choose the subset that supports your work.
Check for duplicate records before building citations from both versions. Compare the details carefully before merging or removing anything, especially if separate editions are genuinely different sources. Keep notes attached to the correct record and inspect the result after a cleanup so useful annotations are not accidentally separated.
Test the output in a practice document
Insert a few representative citations and generate a bibliography using the required style. Include a book, article and chapter if those appear in your assignment. Compare the output with the university's referencing guidance. This can reveal a field problem before dozens of citations depend on the same mistake.
Fix incorrect source metadata in the reference manager where appropriate, then refresh the document through the supported workflow. Before submission, read the bibliography as text and check it against the citations in the assignment. Automated formatting can save repeated work, but a final source-by-source inspection catches omissions and mismatches the software cannot judge.
